How to Track Email Outreach and Follow-Ups in KoldReach
What you'll accomplish
Tracking outreach in KoldReach means checking the person record, the sequence-level metrics, and the Activity view together. Each view answers a different question: what is true about one relationship, how is a sequence performing, and what happened recently across the workspace?
Before you begin
- A saved contact or enrolled sequence
- Gmail connected for send activity
- At least one test or real permitted outreach event
Step-by-step instructions
- 1
Check the person record
Open People and select a person. Review Last contacted, Next action, status, sequence information, and the contact timeline. This is the best place to decide what to do next with one relationship.
- 2
Review sequence Overview
Open Sequences → select a sequence → Overview. The page shows enrolled and step counts, reply rate, completion rate, failure rate, and a sequence timeline with sent counts.
- 3
Inspect Email Steps
Open Email Steps to confirm the message and delay that produced the scheduled action. If a follow-up is unexpected, compare its days and hours with the timeline rather than editing a sent message.
- 4
Use Activity for recent events
Open Activity from the sidebar to review workspace-level events and recent outreach. Look for delivery failures, replies, scheduled follow-ups, and other status changes before taking manual action.
- 5
Respond and update deliberately
When someone replies, pause or remove them from further automated outreach as your workflow requires, then record the relationship outcome in the person profile. Metrics are signals for review, not proof that every message was read.
Tips and troubleshooting
Treating an enrolled contact as sent
Enrollment does not necessarily mean a message has been delivered. Use Activity and the sequence timeline to distinguish scheduled, sent, replied, completed, and failed states.
Reading reply rate as a guarantee
Sequence metrics summarize observed activity. They do not guarantee future results or prove that a recipient saw a message.
Ignoring failures
Open the person and Activity context, verify Gmail connection and address quality, then correct the record before retrying. Avoid repeated sends to an invalid address.
Completion checklist
- □ Person record was checked
- □ Sequence Overview metrics were reviewed
- □ Timeline was compared with delays
- □ Activity events were inspected
- □ Replies and failures received an intentional next action
